Why the plan matters more than the sticker price
Scheduling tools advertise their cheapest tier, but the features a team uses — round-robin distribution, a routing form in front of the calendar, collective booking for interview panels — sit one or two tiers up. Calendly's Standard plan is $10 a seat; the moment you want round-robin it is Teams at $16 a seat. Multiply by five reps and a "ten dollar tool" is an eighty-dollar line item.
Per-seat pricing also punishes the thing you want to happen: adding the whole team. The calculator shows the effect of each extra person, and where the flat-rate tools (SynqSlot, TidyCal) break even against per-seat ones.
The numbers here are only the subscription. They do not include the cost of a no-show, which for a sales demo is usually the largest number on the page — see how to stop no-shows for sales demos.
Frequently asked
- How is the cost calculated?
- Each vendor's public pricing page was read in September 2026. The calculator picks the cheapest plan that fits the number of people you enter and, if you tick round-robin and routing forms, the cheapest plan that includes both. Per-seat tools multiply the seat price by your team size; flat-rate tools show the plan price. Annual-billing prices are shown as the equivalent monthly figure.
- Why does Calendly jump to the Teams plan when I tick round-robin?
- Calendly's round-robin and routing forms are on its Teams tier ($16 per seat on annual billing, $20 monthly), not on Standard. Cal.com puts them on Teams ($12 per user, annual). SavvyCal has round-robin on Basic but no routing forms at any tier; Acuity has neither.
- Why is SynqSlot sometimes more expensive?
- For one person who does not need team features, Calendly, Cal.com and TidyCal have free plans and SynqSlot does not (Solo is $6/mo). The gap flips at two or more people: SynqSlot Team 5 is $27/mo flat for up to five, against $60–100/mo on per-seat tools.
- Are these prices current?
- They were verified in September 2026 from each vendor's public pricing page and are checked when we update the comparison pages. If you spot a change, email hello@synqslot.com and we will fix it.
- Can I embed this calculator on my own site?
- Yes. Copy the iframe snippet under the results. It is free to use; we only ask that the link back to this page stays in place.
