How do you schedule a panel interview without a coordinator?

Give the candidate one booking link that only offers times when every required interviewer is free. SynqSlot does this by reading each interviewer's connected calendar and working hours, intersecting them, and showing the candidate the result. When they pick a time, the interview is written to every interviewer's own calendar, each interviewer is emailed, and the candidate receives one invitation with one meeting link. Interviewers who are interchangeable — “any one of these three engineers” — are seated by a fair rotation so the same person is not on every loop. If anything has to move, the whole panel is re-checked at the new time and every calendar is updated. It is included on Team plans at $27 a month for up to 5 people and $35 for up to 10, with no per-interviewer fee.

How it works

What the panel link actually does

Every item below is a behaviour in the booking engine. Nothing here is a roadmap.

01

The candidate books once, from one link

You send a single booking link. The candidate sees one calendar, picks one time, and is told how many people they will meet — no surprise when four names appear on the invitation.

02

Every required interviewer's calendar is intersected

A time is offered only when everyone under "Who must attend" is free. Each interviewer is evaluated with their own hours, time zone, buffers, limits and connected calendar (Google, Outlook / Microsoft 365, Apple or CalDAV), and the results are intersected. A recruiter in Toronto and an engineer in Berlin keep their own 9-to-5.

03

Required vs interchangeable interviewers

Required people shrink availability; four busy calendars often intersect to nothing. So you can add an "Interchangeable" pool — the hiring manager must be there, plus any one of these three engineers — and set "How many are needed?". Pool members add bookable times instead of removing them.

04

Each interviewer gets their own calendar event

On booking, the interview is written to every interviewer's own calendar as a separate event, and each of them is emailed. The candidate receives one invitation from the organiser with one meeting link (Zoom, Google Meet or Teams), which is attached to everyone else's event — not four different links.

05

Pool seats rotate fairly

When more pool members are free than you need, SynqSlot seats whoever has sat on the fewest panels in the last 30 days, weighted by their share on the Team page, then whoever was assigned least recently; ties follow your listed order. Each booking shows a "Why this panel" explanation in the dashboard.

06

Same panel as last round, when you want it

Tick "Prefer the same interviewers this candidate met before" and, when a candidate books a later round on any of the team's links, the pool members who met them are seated first — if they are free. Continuity never changes which times are offered.

07

Reschedules and cancellations fan out to everyone

On a reschedule, every required interviewer is re-checked at the new time and the move is refused if one is busy; pool members already on the booking are kept if free, otherwise replaced by the fairness order. On a cancellation the event is removed from every interviewer's calendar.

08

Honest about calendars it cannot see

If a required interviewer's calendar cannot be read, no times are offered until it is reconnected — the panel fails closed rather than double-booking a VP. An interviewer with no calendar is assumed free, the editor says so, and you must tick an acknowledgement before the link goes live.

Setup

Set up a panel interview link in four steps

The labels below are the ones in the dashboard.

  1. 1

Put the interviewers on a team

Dashboard → Team → "+ New team", then invite each interviewer by email; only members who have accepted can be placed on a panel. Each person connects their own calendar. Someone who only needs to lend their calendar can use the consent link on the Team page.

  2. 2

Create a team booking link in Panel mode

Dashboard → Booking links → "Create booking link". Switch on "Team event", choose the team, and under "Assignment" pick "Panel (everyone attends)".

  3. 3

Choose who must attend and who is interchangeable

Tick the required interviewers under "Who must attend". Add optional ones under "Interchangeable (optional)" and set "How many are needed?". The editor shows how many required people have a connected calendar and a "Panel health" note if anything would block bookings. Tick "Prefer the same interviewers this candidate met before" for follow-up rounds.

  4. 4

Set the interview details and send the link

Duration, location, intake questions, buffers and reminders work like any other booking link. Save, then send the link to the candidate — or put it behind a routing form so a screening call and a technical panel start from one URL.

Screening calls that go to one recruiter at a time are a different mode — see round robin scheduling. For the whole hiring workflow, read how to schedule interviews faster.

Pricing

Interview scheduling software without a per-seat fee

A panel needs every interviewer on the tool. Per-seat pricing elsewhere turns each of them into a line item; the ATS-grade schedulers price for enterprise recruiting teams.

FAQ

Panel scheduling questions, answered

How does panel interview scheduling work in SynqSlot?

You create a team booking link in "Panel (everyone attends)" mode and tick who must attend. The booking page only offers times when every required interviewer is free, according to their own hours and connected calendars. The candidate books once; each interviewer gets the interview on their own calendar and an email, and the candidate gets one invitation with one meeting link.

Can some interviewers be optional?

Yes. Required interviewers go under "Who must attend". Optional, interchangeable ones go under "Interchangeable (optional)" with "How many are needed?" — for example any 2 of 4 engineers. Required people reduce available times; pool members add them back.

What happens if an interviewer is double-booked after the candidate books?

Each interviewer's calendar is checked when the slots are generated and again when the booking is submitted, so an existing conflict is never offered. If the interview later has to move, the reschedule re-checks everyone at the new time: a busy required interviewer blocks the move, and a busy pool member is replaced by whoever is next in the fairness rotation.

Does the candidate see who is on the panel?

Yes. The booking page says how many people they will meet, the confirmation lists the panel, and the calendar invitation comes from the organiser with a single meeting link. The candidate is not a guest on each interviewer's separate event, so they receive one invitation rather than four.

Can I keep the same interviewers for a candidate's next round?

Yes. Tick "Prefer the same interviewers this candidate met before" on the booking link. When the candidate books again on any of the team's links, pool members who sat on their earlier panel are seated first if free; remaining seats are filled by the fairness rotation.

How much does interview scheduling software cost for a small team?

SynqSlot Team plans are a flat $27 a month for up to 5 people or $35 a month for up to 10, with panel scheduling, round-robin and routing forms included and no per-interviewer fee. Every account starts with a 15-day trial; no card is required.
