What is round robin scheduling?
Round robin scheduling lets several people share one booking link. The invitee sees a single calendar made from everyone's combined availability, picks a time, and the meeting is assigned to one team member automatically — in SynqSlot, the person who is free at that time and has the fewest bookings this week, or whoever you have weighted higher. Nobody forwards a request, nobody checks three calendars, and the invitee never has to choose a person. It is the standard way sales, support and consulting teams distribute inbound demos, discovery calls and consultations evenly. SynqSlot includes it on every Team plan: $27 a month for up to 5 people, $35 for up to 10, with no per-seat charge for adding hosts.
How it assigns
Exactly what happens when someone books
These are the rules in the assignment code, not a brochure summary. If the code changes, this list changes.
01
Only people who are actually free are in the running
Every member is checked against their own working hours, date overrides, buffers, minimum notice, daily limit and focus time, and against every calendar they have connected (Google, Outlook / Microsoft 365, Apple or CalDAV). Someone whose day starts at 13:00 is never handed a 09:00 meeting.
02
Round-robin (equal distribution): fewest bookings this week wins
The free member with the fewest confirmed or pending bookings in the current week gets the next one; ties are broken at random. There is no fixed A-B-C order to drift when someone is on holiday — the count self-corrects.
03
Priority (weighted distribution): share the load unevenly on purpose
Each member has a weight from 1 to 1000 (default 100) set on the Team page. A member on 200 receives roughly twice as many bookings as one on 100. Each weight is reduced by the bookings that person already has this week, so a high weight never swallows everything.
04
Performance (outcome-learned): route to whoever closes
Optional. After at least 10 recorded won or lost outcomes in a segment, new bookings favour the member with the best win rate there, with a 15% exploration share and a 5% minimum share per person. Below 10 outcomes it behaves exactly like round-robin.
05
The booking page shows the union of everyone's availability
A time is offered if at least one member can take it. If nobody is free, the time is not shown. If two invitees race for the last free member, the second booking is refused with "No team members are available at this time" and they pick another slot — nobody is double-booked.
06
Unreadable calendars fail closed
A member whose calendar cannot be read (an expired token, say) is left out of the pool for that slot rather than assumed free, and the problem is flagged on their Calendars page. A member with no calendar connected is treated as free, and the dashboard tells you so.
07
Every booking records why that person got it
The reason — "round-robin: fewest bookings this week (2)" or "priority: weight 200, 1 booking this week" — is stored on the booking and shown to the host.
08
Cancellations reopen the slot; they do not reassign it
A cancelled time becomes available again and the next booking goes through the normal rotation. If the link has a waitlist switched on, the first person waiting is offered the freed slot automatically.

Setup
Set up round robin booking in four steps
The labels below are the ones in the dashboard, so you can follow along.
- 1
Create a team and invite the people who take bookings
Dashboard → Team → "+ New team", then invite members by email; only members who have accepted can be assigned. For weighted distribution, set each person's share in the "Priority weight (1–1000)" box next to their name.
- 2
Create a team booking link
Dashboard → Booking links → "Create booking link". Switch on "Team event — Distribute bookings across team members" and choose the team.
- 3
Pick the assignment rule
Under "Assignment" choose "Round-robin (equal distribution)", "Priority (weighted distribution)" or "Performance (outcome-learned)". The fourth option, "Panel (everyone attends)", is the collective mode compared below.
- 4
Set the meeting details and share one link
Duration, location (Zoom, Google Meet, Teams, phone, in person), intake questions and buffers work like any other booking link. Save and share the single team link. Each booking lands on the assigned member's calendar with their meeting link.
Everything a normal scheduling link does — durations, locations, intake questions, reminders, buffers — works on a team link too. Put a routing form in front of it to send enterprise leads to one rotation and small accounts to another.
Compared
Round robin vs collective (panel) scheduling
Round robin picks one person. Collective books everyone. Same booking link editor, opposite availability maths — see panel interview scheduling for the collective side.
| Feature | Round robin | Collective (panel) |
|---|---|---|
| Who attends | One member of the team | Every required interviewer, plus any N from an interchangeable pool |
| When a time is offered | If at least one member is free (union) | Only if every required person is free (intersection) |
| Adding people to the link | Adds availability | Required people remove availability; pool members add it back |
| How the person is chosen | Fewest bookings this week, weights, or outcome history | Pool seats rotate by fewest panel seats in the last 30 days, weighted by share |
| Calendar events | One, on the assigned member's calendar | One on each interviewer's own calendar; the candidate gets a single invitation |
| Typical use | Sales demos, support calls, discovery calls | Panel interviews, multi-stakeholder reviews |
| Dashboard label | "Round-robin (equal distribution)" / "Priority (weighted distribution)" | "Panel (everyone attends)" |
Pricing
Flat rate, not per seat
Round robin only makes sense when the whole team is on the link. Per-seat pricing elsewhere charges you for exactly that.
SynqSlot
- Solo — $6/month, one person, every feature
- Team 5 — $27/month flat for up to 5 people
- Team 10 — $35/month flat for up to 10 people
Round-robin, priority, performance routing, panel scheduling and routing forms are all included on Team plans. Adding the fifth or tenth host costs nothing extra. 15-day trial, no card.
Per-seat tools
- Every host who can be assigned is a paid seat
- Round robin usually sits on a higher “Teams” tier, not the entry plan
- A ten-person rotation is ten seats at the team-tier price

FAQ
Round robin questions, answered
What is round robin scheduling?
Round robin scheduling shares one booking link between several people. When someone books, the meeting is assigned to one team member — usually whoever is free at that time and has had the fewest bookings recently — so work is spread evenly without anyone coordinating by hand. The invitee sees a single calendar of combined availability and never has to pick a person.
How does SynqSlot decide who gets the booking?
It keeps only members who are free at that time according to their own hours, limits and connected calendars. In Round-robin mode it then picks the member with the fewest confirmed or pending bookings this week (ties at random). In Priority mode it makes a weighted draw using each member's weight (1–1000), reduced by their current load. The reason is stored on the booking.
What happens if nobody on the team is free?
The time is not shown. Availability is the union of all members, so a slot appears only when at least one person can take it. If two invitees race for the last free member, the second booking is refused with a clear message and they choose another time.
Can I give one person more bookings than the others?
Yes. Set the booking link's Assignment to "Priority (weighted distribution)" and change each member's weight on the Team page. A weight of 200 receives about twice the bookings of 100; 50 about half. The same weights apply to the interchangeable pool on panel links.
Does round robin cost more per person?
No. SynqSlot is flat-rate: Team plans are $27 a month for up to 5 people and $35 a month for up to 10, with round-robin, priority, performance routing, panel scheduling and routing forms included. Elsewhere round-robin usually sits on a per-seat team tier, so every host adds to the bill.
Is a rescheduled or cancelled booking reassigned to someone else?
A cancelled booking frees the slot; it is not handed to another member. If the link has a waitlist, the first person waiting is offered the freed time automatically. A reschedule keeps the same host after re-checking their availability at the new time.
