Time zone meeting planner

To find a meeting time across time zones, list every participant's city, mark the hours each of them is willing to meet, and look for the hours where all of those ranges overlap on one 24-hour line — then write the agreed time out in every zone, not just yours. The planner below does exactly that for up to six cities, on the date you pick, with daylight-saving changes already applied.

How to use it

  1. Type a city and pick it from the list. Add between two and six. The first row sets the day the grid is drawn on.
  2. Set each row's working hours. The default is 9 AM to 5 PM; an early riser or someone happy with a 7 PM call changes the answer, so edit the hours rather than guessing.
  3. Choose the meeting date. Offsets follow that date, and a badge marks any zone whose clock has moved since today.
  4. Read the windows above the grid. Green is inside everyone's hours; amber is inside most. Click "Copy summary" to get the times spelled out in every zone, ready for the invite.

Tips for scheduling across time zones

  • Daylight-saving dates differ by country. The US and Canada change on the second Sunday of March and the first Sunday of November; the UK and EU on the last Sundays of March and October; Australia and New Zealand in the opposite direction, around April and October. A recurring meeting can shift by an hour for a few weeks each spring and autumn.
  • Not every zone is a whole hour from UTC. India is UTC+5:30, Newfoundland UTC−3:30, Nepal UTC+5:45, and Adelaide and Darwin sit at half-hour offsets. Check the exact minutes rather than assuming the hour.
  • Propose two options, not one. A single suggested time starts a back-and-forth if it fails; two viable windows let the other side pick without a second round.
  • State both zones in the invite: "9:00 AM CDT / 3:00 PM BST". It takes five seconds and removes the most common reason someone joins an hour late.

Frequently asked

How do I find a meeting time across three or more time zones?
Add each city above, set the hours each person is willing to meet, and read the green columns: those are the hours inside everyone's working day. If there are none, the planner lists the hours that suit most people in amber; widen one person's hours (an early start or a late finish) and a green window usually appears. Copy the summary and paste it into the invite so every time is spelled out in every zone.
Does the planner account for daylight saving time?
Yes. Offsets are computed for the date you choose, using the time zone rules built into your browser, so a meeting in late March or early November shows the right offset for that day. A "DST shift vs today" badge appears on any zone whose offset on the chosen date differs from its offset right now, because that is when people most often get the conversion wrong.
Why does one column show 8:30 PM instead of a whole hour?
Some zones are offset from UTC by a fraction of an hour: India is UTC+5:30, Newfoundland UTC−3:30, Nepal UTC+5:45, and parts of Australia use UTC+9:30 and +10:30. The grid is laid out on the first zone's whole hours, so the half-hour zones land between them. The copied summary uses the exact local time, so nobody has to round.
Can I share or embed the planner?
Yes. The zones, working hours and date are stored in the page URL, so the link in "Share this plan" opens the same grid for anyone. The iframe snippet under "Embed this planner" drops the grid into your own page; it is free to use as long as the "Planner by SynqSlot" line stays under it. Nothing you enter is sent to a server.
