A panel interview is three or four people's calendars intersected with one candidate's, and the arithmetic gets worse with every interviewer you add. Coordinators handle it by hand, which is slow, or recruiters do it themselves, which is slower. The fix is to let software compute the intersection and let the candidate pick from what is actually free.
What a panel link does
A panel (or collective) booking link is attached to a set of interviewers. When a candidate opens it, SynqSlot reads every interviewer's calendar live, computes the times when all of them are free within the organiser's availability hours, and shows only those. One click books the slot, creates an event on every interviewer's calendar, and sends the candidate a single invite listing the panel by name.
If any interviewer's calendar cannot be read — a token expired, a permission was revoked — the link stops offering times and the recruiter is told. It does not guess. A panel that looks bookable but is not is worse than one that says 'please reconnect'.
Required interviewers and a pool
Not everyone on a panel is essential. Mark the hiring manager required, then add a pool — six engineers, two needed per interview. A time is offered when the required people are free and at least two of the pool are, so one engineer's packed calendar never blocks the whole panel.
Keeping it fair
Left alone, panel scheduling loads the same two people every time because they happen to have the most open calendars. Fairness rotation spreads interviews across the pool: whoever has done the fewest recently is picked first. For later rounds, panel continuity keeps the candidate's interviewers consistent with the previous round where possible.
Reschedules
Candidates reschedule. When they do, SynqSlot recomputes the intersection, moves every interviewer's event, and re-sends the invite. A reschedule limit per link — two or three moves — stops the loop that never ends; after that the recruiter is notified and decides.
Single-use links for candidates
Panel links are usually sent to one candidate. A single-use link works once and stops, so a forwarded link cannot be used by someone else, and it reopens if the candidate cancels. Label it with the candidate's name for your own list; the label is never shown to them. See the recruiting guide for the full flow.
Time zones and daylight saving
Candidates are often in a different zone from the panel. Every confirmation shows both zones, and a warning appears when the interview falls across a clock change on either side — the most common cause of a candidate arriving an hour early or late.
What interviewers need
